CORRECTION, CHANGE OF DATA AND CHANGE OF PERMANENT HOME ADDRESS THROUGH MANAGE PROFILE ON SPARSH PORTAL
1. Pensioners can correct or change their data in SPARSH portal through Manage Profile. But pensioners are doing mistake as they are taking changing of data as correction. For correction/changing of data, SPARSH has given option of attaching such as Birth Certificate or Matriculation Certificate for name and Date of Birth etc. The pensioners are being carried away by these and make change/amendments/ endorsements but tokens are not approved by Records because Records want either Original PPO/EPPO with correct data or Part II Order/NE POR for changes carried out. Problem is that still no policy is laid down by higher formation involving PCDA and Records for these change or corrections.
2. Correct procedure for correction and change is enumerated below.
Correction
3.Correction/endorsement/change of self mobile, email and Aadhaar, mobile number, email of spouse may be carried out at any time and these will be auto approved straightway.
4. Correction of name, DOB of self and spouse if are not correct in comparison to earlier orig PPO, Corrg PPO or EPPO, these may be corrected and scan of these PPOs may be attached as proof. These will be pre-approved by Records
5. Similarly, if action for change of names of self, spouse or children and correction /endorsement of Date of Birth spouse, correction of date of birth of children has been taken by pensioners and Part II Orders/ NE PORs are issued, then these can be changed/endorsed and Part II Orders/NE PORs may be attached as proof. These will also be pre-approved by Records.
6. In case of endorsement of date of birth of pensioners retired before 1986 having age instead of date of birth in their PPOs, endorse their date of birth and attach scan of matriculation certificate and Aadhaar. It will be pre-approved by Records
7. LTA Nomination. For LTA (Life Time Arrears) nomination, click Manage Profile and then nomination. Select option LTA, the click add. Select spouse. Enter %. And again click add and close. You can also add others as LTA nominee. In that, account details, mobile number and email are to be entered. Nomination will also be auto approved straightway after submit.
Changes
8. If pensioners wants to change his name or name of spouse or children or correct date of birth of spouse or children or endorse date of birth of spouse, action for Part II orders/NE POR is to be taken through Zila Sainik Board as per policy of their Records. Pensioners should change name or date of birth after receipt of Part II order/NE POR and attach these as proof. Endorsement/updation of PAN number for self and spouse also comes under change category for pre approval by Records but without any proof. Not approved pending token for unnecessary pre change of these datas will keep their Manage Profile locked.
9. For Change of name or correction date of birth etc of Air Veterans and family, DAV SOP Aug 2021 in PDF is available under Files tab on top of group page and same may be downloaded. Policy for name change of widow of Army Veterans or correction of date of birth of widow or children of Army Veterans is also available under Files tab and same may also be downloaded.
10. Death of Spouse. In case of death of spouse, application along with death certificate is to be sent to the respective Records/HOO for Part II /NE POR. Ex-servicemen should send application through their respective Zila Sainik Boards. On receipt of Part II order/NE POR, click Family Details in Manage Profile. Then click eye icon on right of name of spouse. Now in spouse details, click ‘No’ in check box ‘Is Spouse Alive’. Then fill up date of death and attach Part II Order/NE POR. Do not tempt to change with Death Certificate as it will not be pre-approved by Records.
CHANGE OF BANK DETAILS
11. When change of account number or IFSC code is required, change in first week of the month. After change of bank/branch, edit the bank details in Manage Profile and attach scan of cancelled cheque or clear scan of new Pass Book of new bank/branch.
12. Unless there is an extreme requirement to change IFSC code or bank, it is suggested to wait as the SPARSH is still not stabilised and scattered cases have come to notice where pension was stopped for considerable period when these changes were made
Address Correction/Change
13. In case address is incorrect in comparison to service records, the address can be corrected. An OTP will have to be generated. After entering OTP, scan of address proof such as Aadhaar or Electricity bill or Driving Licence or Passport is to be attached as proof and submitted. The address will be auto approved straightway.
14. If you want to change the address in SPARSH, do not correct/change simply as per Aadhaar etc because PIN or State will not be allowed to change afterwards as clear warning is given by SPARSH while correcting PIN and State. So there may be problem afterwards. Address change/ correction on SPARSH portal is superficial and address at Records is not changed. If address is required be changed, which is different from Discharge Book, a proper action is required to be taken.
15. Case for change of address is to be taken up with Records/HOO. Ex- servicemen should take up case through Zila Sainik Board. Ex-servicemen should raise Declaration forms in three copies. First, it has to be signed by new Zila Sainik Board of new District. Then by old Zila Sainik Board and it is to sent to Records with copy of Discharge Book. Even if the address change is within same district, Zila Sainik Board insists for Declaration form and in that case, Zila Sainik Board signs at both the places of Declaration form.
16. After receipt of Part II Order/NE POR, address is to be endorsed in Discharge Book or Part II Order/NE POR to be pasted in Discharge Book. Then, address change may be carried out on SPATSH portal and attach scan of Pat II Order/ NE POR and Aadhaar.
17. Common format for Ex Servicemen, and format for Air Veterans of declaration forms are appended. Relevant pages of policy of address change for Navy Veterans are also appended.
Other Points
18. Part II orders by pensioners from Army, Navy and Defence Civilians pensioners are to be obtained from their Records. Air Veterans may download their NE POR from their log in from DAV site.
19. After clicking Manage Profile, let is settle and let pencil type edit icons appear.
20. First correct/add the details i.e. mobile number and email ID of self and spouse and Aadhaar of spouse, address and nomination which are auto approved straightway as other corrections/change require pre approval of Records and then you will not be able to correct/add these till token is approved.
21. For Stoppage of Medical Allowances, click on Service Request and then click ‘N’ and submit.
22. For family details, click eye icon on right of name of spouse/family members. Do not click on Recycle Bin icon otherwise spouse/family details will be deleted.
23. If you commit any mistake during edit of data or it is asking some documents which as per your opinion, you did not amended but in actual you mishandled these data unknowingly. In that case do not get afraid. Click Reset all at the bottom and the datas will come to original position.
24. On last submit, list of amendments will appear. If you find that some correction is wrong, click cancel instead of OK and carryout amendments again.
